The State University Construction Fund (Fund) is a New York State
government entity dedicated solely to facilitating and expediting
the construction, renovation, rehabilitation, and improvement of
the State University of New York's academic building and
infrastructure assets at 32 state-operated campuses and 3 teaching
hospitals.
Our offices are located within the historic SUNY System
Administration headquarters in downtown Albany, New York. Though
officially named the H. Carl McCall SUNY Building, it is often
referred to by locals as the, "D&H Building," or
affectionately, "The Castle."
The Fund offices and the adjoining employee parking garage are just
steps from the Hudson River, a short walk to the Capitol Building
and the Empire Plaza, and a few minutes' drive to major highways
including the Northway (Interstate 87) and the New York Thruway
(Interstate 90).
Job Description:
The State University Construction Fund (Fund) is currently seeking
a Procurement Assistant to join our Capital Procurement team at our
office in Albany, NY.
The Procurement Assistant is responsible for a facilitating and
administrative management of tasks related to procurement of
design, construction and operating consultant contracts to support
the Fund's work as well as assisting in other procurement types
(including construction).
The Procurement Assistant will also be responsible for certain
reporting, scheduling, vendor communication related to Procurement
and vendor relationship management.
Specific Duties & Responsibilities:
Maintain procurement records including the procurement calendar and
advertisements in the New York State Contract Reporter
Prepare solicitation documents and issue solicitations as
necessary
Maintain firm information in the Fund's Applications
Receive responses to solicitations and review for
responsiveness
Distribute procurement information and documents internally and
externally as necessary.
Coordinate Vendor Responsibility reviews
Coordinate subconsultant / subcontract MW/SDV staffing lists
reviews and approvals
Prepare and distribute SOQs and required selection documents and
other internal documents and forms to Consultant Selection
Committee members.
Coordinate, monitor and expedite procurement meetings and
milestones
Issue internal and external correspondence related to procurements
(Work Order Assignments, Letters of Authorization, Notifications of
Selection/Award, Agreements, etc.)
Provide guidance and support to firms and Fund staff on
Procurement-related matters
Maintain and standardize procurement boilerplate agreements and
forms
Assist in the understanding and troubleshooting of
procurement-related issues
Prepare reports and analyses to track and manage project activity
and organizational effectiveness
Perform ad-hoc tasks in support of organizational and campus
initiatives as required
Perform other administrative and operational duties as directed
Provide administrative support to the Procurement Unit.
Support and participate in live Construction Bid Openings
Serve as the Presiding Officer at bid openings
Other duties as assigned
Requirements:
Associate's degree OR a High School Diploma plus five years
relevant experience
Excellent skills with MS Office Suite
Organizational skills and attention to detail
Working knowledge of administrative and management principles and
techniques
Judgment and discretion in matters of confidentiality
This position does not require a NYS Civil Service examination.
Additional Information:
Salary range: $54,860 - $78,307 per year, commensurate with
experience and qualifications.
